When you create a CleanSmart account, we collect your name, email address, and password. If you choose a paid plan, we also collect billing information through our payment processor (we never store your full credit card number on our servers).

The core of our service involves processing your data files. When you upload a CSV or other supported file format, we temporarily store and process that data to perform cleaning operations including duplicate detection, format standardization, missing value imputation, and anomaly detection.


Important: We do not access, review, or use the contents of your uploaded data for any purpose other than providing the cleaning services you requested. We do not use your data to train AI models. We do not share your data with third parties. Your data is processed in isolated environments and automatically deleted according to your plan's retention period.


Usage Information

We automatically collect certain technical information when you use our Services, including your IP address, browser type, operating system, device identifiers, pages visited, features used, and timestamps. This helps us improve our Services and troubleshoot issues.


Cookies and Similar Technologies

We use cookies and similar tracking technologies to maintain your session, remember your preferences, and understand how you use our Services. You can control cookies through your browser settings, though disabling them may limit certain features.


How We Use Your Information

We use the information we collect to provide and maintain our Services, including processing your data cleaning jobs and generating your Clarity Score reports. We also use this information to process transactions and send related confirmations, respond to your questions and support requests, send service-related communications (like maintenance notices and security alerts), analyze usage patterns to improve our Services, detect and prevent fraud or abuse, and comply with legal obligations.

We may send you marketing communications about new features or services if you've opted in. You can unsubscribe at any time using the link in those emails.


Data Security

Security isn't a feature we added—it's the foundation we built on. Here's how we protect your information:

Encryption: All data is encrypted in transit using TLS 1.3 and at rest using 256-bit AES encryption. Your uploaded files are unreadable to anyone without proper authorization—including us.


Isolation: Each data cleaning job runs in a completely isolated processing environment. Your data never touches another customer's data or processing instance.


Access Controls: Only you can access your data through authenticated sessions. Our engineering team cannot view customer files without explicit, logged permission granted solely for troubleshooting purposes you've requested.


Infrastructure: Our Services are hosted on enterprise-grade cloud infrastructure with industry-standard security certifications. We continuously monitor for threats and vulnerabilities.


We're actively working toward SOC 2 Type II certification. While no system is 100% secure, we implement and maintain reasonable administrative, technical, and physical safeguards to protect your information.


Data Retention

You control how long we keep your uploaded data. Retention periods vary by plan:

Starter plans include 7-day retention. Professional plans include 30-day retention. Business plans include 90-day retention with custom options available.


After your retention window expires, uploaded data files are automatically and permanently deleted from our systems. You can also manually delete your data at any time through your account dashboard.


Account information and usage logs are retained for as long as your account is active, plus a reasonable period afterward for legal and operational purposes. If you delete your account, we'll remove your personal information within 30 days, except where retention is required by law.


Information Sharing and Disclosure

We do not sell your personal information. We may share information in the following limited circumstances:

  • Service Providers: We work with trusted third parties who help us operate our Services—including cloud hosting, payment processing, and analytics. These providers are contractually bound to protect your information and can only use it for the specific services they provide to us.
